The Alcoholic Beverage Control Authority is recruiting for a Records Support Specialist.
The Support Specialist provides excellent professional services to the citizens of the Commonwealth pertaining to the licensing of businesses, collection of taxes and the controlled distribution of alcoholic beverages.
This position is assigned to the Bureau\'s License Records Management section.

Job Duties and Responsibilities:


This employee accurately reviews and enters license related data in compliance with the Bureau\'s data entry standards within two days of receipt.

Responses to all public informational inquiries are accomplished on the same day.

Information provided to customers is thorough, clear, concise, and in accordance with regulations, statutes and agency policies.

Correspondence to corporate officials, attorneys and other external customers is clear, concise and contains only relevant information.

Supports management and agents to achieve Bureau goals and objectives by serving as one of the quality control specialists through the process of verifying and indexing files scanned by regional personnel.

Assignments are carried out within established procedures and in a timely manner.

Knowledge of computer systems and automated databases, preferably Microsoft systems. Proper use of English grammar, punctuation, spelling, composition of correspondence. Knowledge of: state and federal laws, regulations and agency policies relative to corporations, partnerships, and ABC licensing; fundamental math, including basic statistics, and bookkeeping practices is essential.

Minimum Qualifications:

Demonstrated ability to: operate personal computers; design and manipulate databases; enter data, including crime data; gather and analyze pertinent information; produce statistical and financial reports; distinguish between relevant and irrelevant information and arrive at logical conclusions; trouble shoot problems and devise solutions; communicate effectively.

Prepare investigative reports; and present the contents verbally or in writing. Ability to handle stressful situations; trouble shoot problems and devise solutions; make independent decisions; and work independently.

Appropriate documents are data imaged and filed as necessary.

Responses to official Freedom of Information Act (FOIA) requests including estimates, billing, correspondence, research and database updates are accomplished within the guidelines and time frames of Agency and Bureau policy as required.

Support of the agency mission is demonstrated by assuring that contacts with internal and external customers reflect excellence in customer service and a commitment to public safety.

Automated data systems are maintained to ensure accuracy and confidentiality of data.

Management is immediately notified of all discrepancies and breaches of data security.

Maintains a positive, open and cooperative line of communication within the Agency and Bureau as well as with applicants, attorneys and other law enforcement agencies to ensure maximum cooperation and efficiency.

Completion of internal and external training courses as needed. Commissioned as a Notary Public or have the ability to become a Notary Public.


Preferred Qualifications:

Graduation from high school with considerable experience working with personal computers, automated databases, and cash management.


Bilingual preferred
