Position Summary
The Escrow Assistant supports the escrow team in facilitating real estate transactions by collecting, reviewing, and preparing all necessary documentation prior to closing. This role requires consistent communication with all parties involved — including buyers, sellers, lenders, real estate agents, and service providers — while demonstrating the company’s core values of honesty, integrity, professionalism, friendliness, helpfulness, caring, and respect. The ideal candidate approaches each task with a “do better” mindset, solving problems proactively and treating every customer and team member with respect and sincerity.
Essential Duties and Responsibilities
Answer phones promptly with a friendly, helpful, and professional tone.
Coordinate and communicate effectively and honestly with consumers, lenders, agents, and service providers throughout the transaction process.
Complete all pre-closing activities with accuracy and integrity to ensure files are ready for final settlement.
Perform general administrative tasks such as opening new files, scheduling closings, and sending confirmations.
Manage the office escrow email inbox, responding with respect and clarity or routing messages appropriately.
Handle postage and shipping of documents and packages with care and attention to detail.
Make deposits and locate and post incoming wires with accuracy and accountability.
Assemble closing packages and ensure all files are complete and compliant prior to closing.
Submit electronic recordings (e-recordings) to the appropriate counties or jurisdictions.
Assist in preparing Closing Protection Letters (CPLs) and title insurance policies.
Actively learn and support the closing process from start to finish, seeking continuous improvement and demonstrating a willingness to “do better” each day.
Required Knowledge, Skills, and Abilities

Excellent customer service and communication skills that reflect friendliness, caring, and respect.
Ability to understand and process detailed written material with accuracy and integrity.
High attention to detail and strong organizational skills.
Demonstrated ability to manage workflow, prioritize multiple tasks, and follow through with accountability.
Familiarity with real estate laws, legal codes, and regulations related to escrow and title services.
Comfort working in a fast-paced, deadline-driven environment while staying calm, respectful, and solution-focused.
Proficiency in office technology and escrow management software is a plus.
Qualifications:
Qualifications
High school diploma or equivalent required; associate degree or higher preferred.
Prior experience in escrow, title, or real estate transactions preferred but not required — training available for motivated, values-driven candidates.
Notary Public designation (or willingness to obtain) may be beneficial depending on location.
Work Environment
Office-based role with regular use of computers, phones, and standard office equipment.
May occasionally require local travel for recordings or deliveries.
