Details:
Communication
- Good communication skills. Greets patients, visitors and instructs clients as referred by Nurse Coordinator. Answering telephones, taking messages and responding to emails.
- Attends monthly clinic board meetings (4th Thursday of the month at 5:30 p.m.) and present an activity report. If unable to attend than a written report should be submitted to the board president, the day of the scheduled meeting by 12 noon. Office Administrator may also attend a board meeting via Zoom, Google Meet and/or other electronic meeting application.
- Attend community events to promote the clinic and its services.
Bookkeeping:
- Authorizes, approves and acts as purchasing agent in accordance with the Well Child Clinic policies and procedures. In addition, maintains frequent and direct contact with the board treasurer to insure an effective accounting system of the clinic's income, expenditures and annual budget.
- Negotiates donations, grants, and agreements with community groups and organizations. In addition, maintaining public relations with said donors, non-profits, government agencies, business, churches and all residents of Steuben County.
Documentation
- Assists the development of written policies and procedures with board, as needed.
- Maintains administrative records and reports clinic operation.
- Grant writing a plus.
Scheduling
- Schedules clinic dental, optical and physical exams. This may be through telephone, email or the website.
- Coordinates patient referrals with parents and appropriate medical professionals.
Misc.
- Strong time management and organizational skills, ability to prioritize tasks, proficiency in using office software (specifically Microsoft Office and RX Assist Plus) and ability to handle multiple tasks simultaneously.
- Performing other duties as assigned. Maintaining regular attendance. Coordinate fundraisers.
Part-Time
Tuesday & Thursday 10am-2pm Office hours + additional hours needed to perform outreach needs.
Salary paid Monthly 22.50 hr / 520hrs per year.
