¿Qué Pasa? Festival 2023: Food Vendor Registration

Event Description

Register now to be considered as a food vendor for the 2023 ¿Qué Pasa? Festival.
  • Due to limited food vendor space only 10 vendors will be selected to be featured on Brown's Island. (We may be able to accommodate some more food vendors in front of the island. Once confirmed, we will contact you to provide your location and vendor price.)
  • No payment required until you are officially chosen to participate in the festival.
  • Deadline to register to be a food vendor is March 8th*
  • Due to limited space food vendors will be reviewed and chosen before March 13, 2023. 

Whether you're a food truck, trailer or tent please measure the exact frontage feet of your setup. (Examples below)

Make sure you round up when measuring frontage.
Examples below:
If your truck/trailer/tent measures 12ft you need to select 15ft option.
If your truck/trailer/tent measures 18ft you need to select 20ft option.
If your truck/trailer/tent measures 22.5ft you need to select 23ft option.

​Read Vendor Guidelines: 
​Please read the food vendor guidelines before submitting your application. Completion of this form means that you have read and agreed to the vendor guidelines.

Pricing 
● Food vendor pricing will be based on the frontage feet measurement of your tent/truck/trailer.
● No payment required until you are officially chosen to participate in the festival.


Selection Process  
● Food vendor space is limited, due to this we will be hand selecting this year’s food vendors from the applications we receive. 
● The festival may limit specific types of food or beverage to ensure a wide selection of options for festival attendees.  
● Application does not guarantee acceptance. Deadline to apply is March 8th, 2023. 
● Final list of food vendors accepted to participate in this year’s festival will be announced March 13th, 2023.
● The ¿Qué Pasa? Festival reserves the right to deny any application without explanation.  


Vendor Space
● All spaces are pre-assigned, vendors may not move their table or tent.
● Products/display equipment may not extend beyond the boundary of assigned space (including poles for tents, sandbags, etc.).
● Space assignments will be emailed in April with directions on how, when and where to unload and set up.  
● All tents/canopies must be secured properly and weighed down at all times during the event.
● All vendors are highly encouraged to bring their own tents/canopies, tables, and chairs.
● ​A 6ft table and two chairs can be provided for an additional fee. 


Marketing
● Year-round promotion through a directory listing on the ¿Qué Pasa? Festival’s website, with links (if applicable). This includes links to your website, email, Instagram, and  Facebook (submitted during registration).
● ¿Que Pasa? food vendors group promotions on the Virginia Hispanic Chamber and the Virginia Hispanic Foundation’s social media platforms. This includes images of your display or food items you are selling (submitted during registration).
● General ¿Que Pasa? Festival marketing through the Virginia Hispanic Chamber and the Virginia Hispanic Foundation’s social media platforms.
● Festival marketing through multiple media outlets and partners throughout the state of Virginia.
● ¿Qué Pasa? Festival Marketing Toolkit (For self-promotion on social media)


Electricity  
● Electricity will be available on site but voltage is limited per vendor.

● Saturday: 12PM – 8PM 

Festival Hours 
● Saturday: 12PM – 8PM 

Cancelations
● Cancelations received after April 1st will not be issued a refund. 

Taxes
● Vendors are responsible for all local, state, and federal taxes.

Health & Safety
● Frequent disinfecting of high-touch surfaces within area is strongly encouraged.
● Vendors are responsible for compliance with state laws and any updated protocols communicated by the festival organizer.

Beverages  
● No alcoholic beverages may be sold. 

Fire Code Requirements  
ALL food vendors must comply with the codes for combustibles, canopies (NFPA701 or the CPAI84 are accepted), fuel tanks for cooking, fire extinguishers, and solid fuel.  
● Due to fire code restrictions, the spaces between vending operations may not be used for seating or storage. These are to remain open air areas.  

Insurance 
● INSURANCE - Vendors must provide a certificate of insurance in the amount of $1,000,000 (one million dollars). The certificate must include language naming indemnified parties as additional insured as respects to the ¿Qué Pasa? Festival 
● Indemnified parties as additional insureds on the contract of insurance should be listed as follows: “¿Qué Pasa? Festival” 
● The festival disclaims any authority of control over the operation of vendors. Vendors assume all rights and responsibilities for the conduct of their operations including, but not limited to: obtaining liability and general coverage insurance for vendor-related activities adhering to all local and state ordinances and regulations. 
● The Festival does not have separate vendor coverage under any insurance it may maintain. 


 
Details
By completing and submitting this application you are agreeing to abide by the 2023 Vendor Application Guidelines. Failure to follow these rules and regulations can mean expulsion from the festival. Vendors hereby release and agree to hold harmless all indemnified parties from any damage to my property or any personal injury which they or their helpers may sustain while setting up for, participating in, or loading out from the ¿Qué Pasa? Festival held May 6th, 2023.
